Welcome to Wild Axis Expeditions Ltd (“we”, “our”, “us”). These Terms & Conditions (“Terms”) outline the agreement between Wild Axis Expeditions Ltd and you, the customer (“you”, “traveller”, “participant”), when booking and participating in any of our expeditions or experiences.
By booking with us, you agree to the following Terms & Conditions. Please read them carefully before confirming your trip.
1. Who We Are

We are a UK-registered limited company that organises small-group expeditions and adventure travel experiences around the world in partnership with trusted local operators.

2. Your Booking
All bookings are made directly through our website or via our secure booking platform, WeTravel.
By completing a booking and submitting payment, you confirm that:
• You are over 18 years old.
• You have read, understood, and agreed to these Terms & Conditions.
• You accept responsibility for all members of your booking group.
Your booking is confirmed once we issue written confirmation via email.

3. Payments
• Deposits or full payments are made securely via WeTravel.
• Deposits are non-refundable unless otherwise stated.
• The balance of your trip must be paid by the date specified in your booking confirmation.
• Failure to pay the balance on time may result in cancellation of your place and loss of deposit.

4. Cancellations by You
If you need to cancel your trip, please notify us in writing as soon as possible at hello@wildaxisexpeditions.com.
Cancellation charges are based on the time before your scheduled departure:
• 60+ days before departure: loss of deposit
• 31–59 days: 50% of total trip cost
• 30 days or less: 100% of total trip cost
We strongly recommend purchasing comprehensive travel insurance that covers cancellation, medical emergencies, and personal belongings.

5. Cancellations or Changes by Us
We plan and operate each expedition with care. However, we reserve the right to make reasonable changes due to circumstances beyond our control, such as weather, political instability, natural disasters, or partner availability.
If we must cancel a trip, you will receive either:
• A full refund, or
• The option to transfer your payment to another expedition.
We will not be responsible for additional costs (e.g., flights, visas, insurance) beyond the trip price paid to us.

6. Travel Insurance
Travel insurance is mandatory for all Wild Axis expeditions.
Your policy must provide adequate coverage for the duration and activities of your expedition, including (but not limited to):
• Emergency medical expenses
• Repatriation
• Trip cancellation and curtailment
• Personal accident and liability
• Any activity included in your expedition (e.g. trekking, diving, off-road travel, etc.)
Proof of insurance will be requested before departure.
Failure to provide valid insurance documentation may result in removal from the expedition without refund.

7. Health, Fitness & Safety
Many of our expeditions take place in remote or challenging environments. It is your responsibility to ensure you are physically fit and medically capable of participating.
You must disclose any medical conditions, dietary needs, or relevant information at the time of booking. Failure to do so may result in removal from the expedition without refund.
Our guides are trained to make safety-based decisions; their judgment must be respected at all times.

8. Risk & Responsibility
Adventure travel involves inherent risks, including injury, illness, and unpredictable environmental conditions.
By booking with us, you acknowledge that:
• You accept these risks as part of the nature of adventure travel.
• You participate voluntarily and at your own risk.
• You will follow the instructions of Wild Axis staff and local partners at all times.
We are not liable for loss, damage, injury, or death except where directly caused by our proven negligence.

9. Passports, Visas & Vaccinations
You are responsible for ensuring that you have a valid passport, visas, permits, and vaccinations required for your chosen destination.
We cannot accept liability for missed departures or denied entry resulting from incomplete travel documentation.

10. Changes During the Expedition
Our expeditions take place in dynamic environments, and itineraries may be adjusted to ensure safety or respond to local conditions.
We aim to deliver the spirit and experience of the trip as advertised, though specific routes, camps, or activities may vary.

11. Behaviour & Conduct
We expect all travellers to behave respectfully towards fellow participants, local communities, and the environment.
We reserve the right to remove any participant from an expedition without refund if their behaviour is disruptive, unsafe, or offensive.

12. Marketing & Media
We may take photos or videos during expeditions for use in marketing materials, social media, or our website.
If you prefer not to appear in any media, please inform us in writing before departure.

13. Data Protection
We respect your privacy. All personal information is processed in accordance with our Privacy Policy and Cookie Policy.
We will only share data necessary for trip delivery with trusted local partners or payment processors.

14. Complaints
If you have a complaint during your expedition, please inform your guide or trip leader immediately so we can resolve it on the spot.
If you are not satisfied, please contact hello@wildaxisexpeditions.com within 14 days of returning home.

These Terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the English courts.
